Choose a sensible first AI workflow

A small, measurable pilot is a better starting point than automating an entire finance function at once.

Published 3 November 2026 · General preparation guidance

01

Choose a repeatable task

Look for recurring document sorting, report assembly or internal follow-up. Describe the input, expected output, frequency and current manual steps.

02

Set a baseline

Record approximate handling time, correction rates and follow-up effort before the pilot. Agree how you will assess the result.

03

Minimise the data

Start with anonymised examples. Identify confidential fields, access rights, approved tools and data-handling requirements before connecting live systems.

04

Keep human approval

Decide who reviews the output and who can approve sensitive actions. Do not give a pilot unrestricted access to payments, filings or production records.

05

Test the awkward cases

Include missing documents, duplicates, incorrect values and unavailable systems. Provide a manual fallback and a clear way to stop the workflow.

06

Review before expanding

Compare results with the baseline, examine exceptions and document ownership. Expand only when accuracy, controls and usefulness are demonstrated.
